Terms & Conditions
The rules for using Processly.
Last updated: October 2026
1. About these terms
These Terms & Conditions ("Terms") govern your use of Processly, a service for documenting and managing business processes, standard operating procedures and policies (the "Service"), available at theprocessly.com. By creating an account or using the Service you agree to these Terms. If you use the Service on behalf of a company, you confirm you are authorised to bind that company, and "you" includes it.
2. Accounts and organizations
- You sign in with a Google account. You are responsible for activity under your account and for keeping access to it secure.
- The person who creates an organization becomes its administrator. Administrators control who can join, each member's role, and what the organization's members can see and do.
- You must provide accurate information and must be old enough to enter a binding contract where you live.
3. Your content
"Your content" means the processes, SOPs, policies, images, files and other material you or your organization's members put into the Service. As between you and us:
- You keep all rights in your content.
- You give us a limited licence to host, store, process and display it solely to provide and improve the Service for you.
- You are responsible for your content and confirm you have the right to upload it. Please do not store payment-card numbers, government ID numbers or passwords in the Service.
- Improving the Service. To make Processly and its AI features better, we may use content in a de-identified form: organization names, people's names, email addresses, amounts and other identifying details are removed first, and what is learned is used only to improve how the Service drafts and structures documents. We never show one organization's content to another organization, and we do not sell your content. If you would like your organization's content excluded from this, write to admin@theprocessly.com and we will honour the request.
- AI features. Draft with AI, Polish, Import SOP and the AI flow chart send the text you submit to Google Gemini models. Google may use content submitted through the Gemini API to train and improve its models and products. AI output can be wrong or incomplete, and you are responsible for reviewing it before you rely on it or publish it. Please see our Privacy Policy for details.
- Content shared through a public link can be viewed by anyone with the link. Administrators control these links and can turn them off.
4. Acceptable use
You agree not to: use the Service unlawfully or to infringe others' rights; upload malicious code; attempt to gain unauthorised access to the Service or to other organizations' data; interfere with or overload the Service; or resell or sublicense the Service without our written permission.
5. Plans and fees
Processly is currently free to start. We may introduce paid plans or change limits in future. If we do, we will tell you in advance, and you may stop using the Service instead of accepting a change.
6. Privacy and data
We process personal data, such as your name, email address and profile photo from your Google account, and the activity needed to run the Service, such as your role and an audit trail of actions in your organization. We use it only to provide, secure and improve the Service and do not sell it. Your data is stored using Google Cloud / Firebase infrastructure. Invitation emails are sent through a third-party email provider. By registering you also agree that we may contact you about the Service, including product updates and offers, as set out in our Privacy Policy, which also explains how to opt out of marketing messages.
7. Availability and changes
We work to keep the Service available, but it is provided without any guarantee of uninterrupted or error-free operation. We may update, add or remove features. Please keep your own copies of important documents; the export options exist for this purpose.
8. Suspension and termination
You can stop using the Service at any time. We may suspend or end access if you breach these Terms or put the Service or other users at risk. Administrators can remove members from their organization. After an organization is deleted, its content is removed from active systems, and copies in backups may persist for a limited time.
9. Disclaimer
The Service is provided "as is" and "as available". Processly is a documentation tool: it does not provide legal, financial, accounting, audit or compliance advice, and the templates are starting points only. You are responsible for checking that your documents are accurate and suitable for your business and the laws that apply to it.
10. Limitation of liability
To the fullest extent permitted by law, we are not liable for indirect, incidental, special or consequential losses, or for loss of profits, revenue, data or goodwill, arising from your use of the Service. Our total liability for any claim relating to the Service is limited to the amount you paid us for the Service in the 12 months before the claim, or INR 5,000 if you paid nothing. Nothing in these Terms excludes liability that cannot be excluded by law.
11. Changes to these terms
We may update these Terms. If a change is material we will notify you, for example in the product or by email. Continuing to use the Service after a change takes effect means you accept the updated Terms.
12. Governing law
These Terms are governed by the laws of India. The courts of competent jurisdiction in India have exclusive jurisdiction over any dispute, subject to any mandatory rights you have under applicable law.
